We are looking for an Executive Assistant to support our senior leadership, facilitating an array of operational and administrative tasks at a global and regional scale. Keys to effectiveness in this role are being proactive, organized and analytical, while using strong business judgment and communication skills to interact with a variety of stakeholders. Expectation of complete confidentiality on all business matters. This position is eligible for our hybrid work schedule working three (3) days on-site in our offices in Oak Brook, IL and two (2) days remote/home office.
- Ensure executives’ time is leveraged most effectively and ensure alignment across direct reports
- Communication Management: Compile information for leadership meetings and additional offsite workshops using a combination of methods including but not limited to power point decks and/or progress dashboards using project software
- Provide executive administrative support to executives, including heavy scheduling, travel, expense reports, event planning, training coordination efficiently and within budget
- Support direct reports of executive as needed
- Support of executive purchase order management using tools such as SAP (supporting delegation of authority)
- Coordinate logistics of virtual and in-person engagement events including meetings, townhalls, conferences, seminar and other on/off-site events
- Manage calendar including meetings with substantial variety and complexity
The annual salary for this role is $63,000 – 92,400 (actual salaries will vary and will be based on various factors, such as skill, experience and qualification for the role).
The qualified candidate will have:
- Bachelor’s degree and 4+ years of corporate administrative, executive administrative, marketing communications experience
- In lieu of Bachelor’s degree will accept Associates degree and 6+ years of experience, or High School diploma with 8+ years of corporate administrative, executive administrative, marketing communications experience will be considered
- 3+ years’ direct senior management support experience in a large global organization that includes the ability to effectively communicate and collaborate with a diverse range of people and job functions
- Expert level experience in Microsoft Office products (PPT, Excel, etc.) and SharePoint
